How to use
- 1 Enter gross pay per period and select frequency (weekly = 52, biweekly = 26, semimonthly = 24, monthly = 12 paychecks/year).
- 2 Choose filing status (Single, MFJ, HoH). MFS uses Single tables for withholding purposes.
- 3 Set W-4 inputs: Step 2 (check if you have multiple jobs or spouse works — uses tighter tables), Step 3 dependents credit ($2,000/child + $500/other dep, ANNUAL amount), Step 4a additional income (interest, dividends), Step 4b additional deductions, Step 4c extra per-paycheck withholding.
- 4 Enter pre-tax deductions per period: 401(k)/403(b)/457, traditional HSA, FSA, pre-tax health/dental insurance. These reduce federal taxable wages but NOT SS/Medicare wages (HSA via cafeteria plan is the exception).

Submit a new Form W-4 to your HR/payroll. Steps: (1) personal info, (2) check box if multiple jobs/spouse works, (3) enter dependent credit ($2,000/child + $500/other dep ANNUAL), (4a) other taxable income, (4b) extra deductions, (4c) extra per-paycheck withholding. New W-4 takes effect next pay period.
Q Why is my paycheck so much smaller than my salary?
Federal withholding (10-37%), state withholding (0-13%), Social Security 6.2% (up to $184,500), Medicare 1.45% (no cap), pre-tax 401(k) (5-15% typical), and pre-tax health/dental insurance. Total deductions for high earners can hit 35-45% of gross.
Q What is the Social Security wage base for 2026?
$184,500 — up $8,400 from $176,100 in 2025 (4.8% wage index increase). Once you hit $184,500 in YTD wages, your paycheck stops withholding the 6.2% SS portion for the rest of the year. Maximum employee SS tax: $11,439.
Q How can I increase my paycheck without changing my salary?
Three legal moves: (1) max pre-tax 401(k) ($23,500 in 2026, $31,000 if 50+) — defers tax to retirement, (2) max HSA ($4,300 single / $8,550 family) — never taxed if spent on qualified medical, (3) reduce W-4 over-withholding via Step 4b deductions or removing Step 4c extra.
Q What is Additional Medicare Tax?
0.9% extra Medicare tax on wages over $200,000 (employee-only — employer does NOT match). Threshold is NOT inflation-adjusted (frozen since 2013). For MFJ couples, the household threshold is $250K but each employer withholds based only on $200K — so dual high earners often owe more at filing.
Q Should I claim "exempt" on my W-4?
Only if you (a) had ZERO federal tax liability last year AND (b) expect ZERO this year. Most people fail one or both tests. If you check exempt incorrectly, you'll owe a large underpayment + penalty at April 15. Better: use Step 4b deductions to legally reduce withholding without claiming exempt.
Q Do bonuses get taxed at 22% or my marginal rate?
Withheld at 22% supplemental rate (Pub 15-T) for bonuses up to $1M, 37% above. But ACTUAL tax depends on your marginal rate. Get a $10K bonus, $2,200 withheld at 22%, then at filing your real rate might be 32% — so you owe the difference. Add Step 4c extra withholding to cover.
